Burn the notebook. Why paper is stealing your orders
A notebook costs nothing — until you count how many orders it has lost. In a company with measurements, quotes and calls every day, paper becomes the most expensive tool in the office.
Where the notebook loses you money
Picture an ordinary day at a company selling blinds, windows or bespoke furniture. An email arrives in the morning, two people call in the afternoon, someone writes in the website chat in the evening. The manager wrote them all in the notebook — or meant to. The measurer went out to a job and sent the sizes as a photo on WhatsApp. The accountant is waiting to be told who paid a deposit in cash.
With this setup, money leaks out in four places:
- An unanswered inquiry. The customer asked for a price and didn't hear back the same day. Tomorrow they'll ask a competitor — who'll reply first.
- Measurements on a scrap of paper. Sizes get copied from a notepad into Excel, then from Excel into the quote. Every retype is a chance to be a centimetre off — and remake the product at your own cost.
- A deposit "somewhere". One person took the cash, another wrote it down, and a third payment hit the bank with no order number. A month later nobody remembers who owes what.
- Profit once a month. You only see what you earned at month-end, from the accountant. Decisions on advertising and hiring are made blind.
Numbers, not hunches
We launched Darbo24 at a Riga company that has been in business since 2001. Over three summer months, 669 orders went through the system — around ten every working day. Half of them were under €182. In other words, the office's main workload isn't big projects but a stream of small orders, where every call and every quote eats time.
At ten orders a day, a notebook simply can't cope. Nobody can keep track in their head of who was promised a call on Thursday, who has a measurement on Friday and who still owes €1,240.
What changes when the notebook is gone
In Darbo24 every inquiry — email, call or website chat — instantly becomes a lead with an owner. The manager logs what they did: "proposal sent", "spoke on the phone", "awaiting reply" — and the system reminds them to follow up two days later. The row changes colour: green means handled, red means time to call.
The measurer accepts the visit on their phone and photographs the measurement sheet — Darbo AI transfers the sizes into the quote. Quotes are calculated from your price lists and mark-ups, not from memory. Deposits and payments are matched to orders automatically from the bank statement, and income and expenses are visible every day.
How to switch in one evening
The scariest part of switching is migrating old data. In our company, a year's worth of 2,316 orders moved from the old system in one night, together with customers and documents. No need to transfer the notebook: start with today's inquiries and close the old entries as they get paid.

Is it hard to give up the notebook and Excel?
No. Start with new inquiries in Darbo24 and close the old ones as usual. We handle migrating customers and orders from Excel or your old software.
What if staff are used to paper?
Darbo24 runs on your phone like an app. It's easier for the measurer to snap the sheet than to copy it out in the evening, and easier for the manager to get a reminder than to hunt through a notebook.
